Email Filtering

 

As everyone as seen, the advertising emails are getting out of hand. Because these companies change their email address and subject lines so frequently, it is almost impossible to update email filtering and rules. To fix this problem, we will be starting a new anti-spam software called Spam Assassin. As each message is processed through our servers, the software exams the content and looks for specific items. If the message rates high enough, it will be classified as spam and the software will modify the message and add in *****SPAM***** into the subject line so it will be easy to identify and eliminate.

Why does Znet not delete the messages before I download them?
Because the Spam Assassin software looks for phrases or items in the message, email may be mistaken for spam. If it is rated as spam and we delete the emails at the server, people will not receive their email.

No system is a 100% accurate, but this will help.

How They Get Your E-Mail Address
A spammer has several sneaky ways of getting your e-mail address. Here are the most prevalent:

  • from your registration at unscrupulous sites (think sweepstakes)
  • games online
  • from your newsgroup postings
  • from your chat sessions
  • from spambots that crawl the Web for anything including an @ sign on a Web site
  • from e-mail lists the spammer buys
  • from mailing lists to which you subscribe
  • by randomly generating name combinations for your domain
  • responding to spam messages or trying to unsubscribe to a listing
  • forwarding jokes, if you do not know EVERYONE this email may go to, you could be sending your email address to someone that may sell it to a spammer.

How to Reduce SPAM it in the Future
There is no easy way to prevent SPAM. It is like junk mail to you house, if you move they will still find you eventually. But there are ways to limit the SPAM

  • if you are at a site that requires you to enter you email address and you do not want to get any information back from them, just make up an email address. Just use something@something.com
  • if you have a fun site that requires a valid email address to return a password, contact us and we can give you a secondary email account. When that account is receiving too much SPAM, we can delete the email account. Keep one email address strictly for family and friends. Or you can set up a free Hotmail or Yahoo address for these sites.
  • use an email address that is not a common name or in the dictionary. Also, combine letters and numbers. This makes it harder for a spammer to use a random generation to guess addresses.

Outlook Express

  • Highlight the message by left clicking the message once.
  • At the top, click Message
  • Click Create Rule from Message...
  • Step 1. Uncheck the first box and left click the second line - Where Subject line contains....
  • Step 2. click the first box - 'Move it to the specified folder'
  • Step 3 click on the underlined phrase Move to the specified folder.
  • click Local Folders, then Click New Folder
  • enter Spam, click OK and OK.
  • click on the underlined phrase contains specific words
  • enter *****SPAM***** exactly as it is here
  • Click Add
  • Click OK
  • click OK again.
Now as email comes in all emails with *****SPAM***** in the subject line will be moved to your Deleted Items folder. This process can be used also for message groups, friends and family, any message that you want to to automatically move to another folder. For further information, consult the Help file in Outlook.
 

Netscape 4.x and 6.x/7.x

  • In both versions, the instructions are the same, it is just the view that changes.
  • In Netscape mail, Click Edit - Message Filters
  • Click New
  • in Filter Name - enter Spam Filter
  • enter *****SPAM***** into the box (see below)

  • Click on your account name
  • Click your account name- Click Trash
  • Click OK

When the messages that has been rated as Spam, will automatically be moved to the Trash folder. Before you empty the Trash folder, look through the messages to make sure an email has not been mistaken for a Spam message.

WebMail Filtering
  • Note: the filter rules are only activated when you log into the WebMail
  • Log into webmail.2z.net
  • Click Options and Filters
  • Check the first 2 boxes under the Filter Options. Click 'Edit you filter Rules'
  • Click New Rule
  • Type Spam in the Rule Name
  • Click the down arrow in Select a field and click Subject
    • Enter *****SPAM***** (5 *s SPAM 5 *s) in the 3rd box (as seen below)
    • In the Do this: Select Delete message completely
  • Click Save
  • Click Save Settings
